Truck JI G/ �5 CITY OF SAN BERNARDINO - REQUEST FOR COUNCIL ACTION STAFF REPORT SUBJECT Resolution authorizing an Annual Purchase Order for Heavy Duty Truck Parts to be utilized by the Fleet Division BACKGROUND Operational requirements, vendor stock levels, and vendor backlog dictates the use of multiple vendors. It continues to be the policy of the Fleet Division to use local San Bernardino vendors when cost and availability are consistent with the operational requirements of the fleet. Notices inviting bids for FY 99/00 annual purchases of heavy duty truck parts were sent to thirty (30) vendors and the San Bernardino Chamber of Commerce. Bidders were required to bid on eighty -two (82) truck parts for Bid No. F- 00 -10; four (4) sealed bids were received and opened on June 24, 1999. Due to vendor stock and operational requirements, the top three vendors are recommended for bid award. Orders will be directed to these three vendors according to bid rank and verifying their ability to perform in a timely manner. FINANCIAL IMPACT Funds for these purchase orders are contained in the Public Services Department, Fleet Division Fiscal Year 99/00 Budget. RECOMMENDATION It is recommended that the Mayor and Common Council authorize the Purchasing Manager to issue a purchase order "not to exceed" $80,000 for the purchase of heavy duty truck parts for FY 99/00. Heavy duty truck parts will be supplied to the City by Colton Truck Supply, Carter Company and Associated Truck Parts. 1 2 3 4 5 6 7 8 9 10 11 12 13, 14 15 16 17 18 19 20 21 23 24 25 26 27 28 00FIV Resolution No. RESOLUTION OF THE CITY OF SAN BERNARDINO AUTHORIZING THE EXECUTION OF PURCHASE ORDERS BETWEEN THE CITY OF SAN BERNARDINO AND COLTON TRUCK SUPPLY, CARTER COMPANY AND ASSOCIATED TRUCK PARTS FOR HEAVY DUTY TRUCK PARTS TO BE UTILIZED BY THE FLEET DIVISION OF THE PUBLIC SERVICES DEPARTMENT. BE IT RESOLVED BY THE MAYOR AND COMMON COUNCIL OF THE CITY OF SAN BERNARDINO AS FOLLOWS: SECTION 1. That Colton Truck Supply, Carter Company and Associated Truck Parts provide heavy duty truck parts to be utilized by the Fleet Division. The Purchasing Manager is hereby authorized and directed to issue a purchase order, as a result of Bid No. F- 00 -10, to Colton Truck Supply, Carter Company and Associated Truck Parts for heavy duty truck parts in the maximum amount not to exceed $80.000. SECTION 2. The authorization to execute the above referenced is rescinded if a purchase order is not issued within sixty (60) days of the passage of this resolution.
