STAFF REPORT
SUBJECT
Motion to reject all bids submitted in response to Bid No. F -00 -11 for the purchase of automotive
parts and supplies, and to direct the Purchasing Manager to revise the bid specification and to re -bid
for these parts and supplies.
BACKGROUND
Notices inviting bids for FY 99/00 annual purchase order of Automotive Parts and Supplies, to be
utilized by the Fleet Division, were mailed to vendors. Bidders were required to bid on various
automotive parts and supplies as specified on Bid No. F- 000 -11. As a result of this bid process, staff
has determined that all bids submtted from responding vendors n ere appro'Kimately 30 — 34% over
the amount budgeted for these parts and supplies. Staff has determined that it is in the best interest
of the City to revise the bid specification and reissue, and that such action may result in an overall
cost savings to the City.
Municipal Code section 3.04.07CE states that "At its discretion, the Mavor and Common Council
shall have the power to reject any and all bids presented and readvertise for bids." Staff is therefore
requesting authorization to reject all bids submitted under Bid No. F- 00 -11, and to authorize the
Purchasing Manager to revise the bid specification and to rebid for these parts and supplies.
RECOMMENDATION
That the Mavor and Common Council approve a motion authorizing the rejection of all bids
received in response to Bid No. F- 00 -11; and to direct the Purchasing Manager to revise the bid
specification and to rebid for these parts and supplies.
