Description) Re-roof of Fire Stations No. q & 11 Finance: Council Notes: Agenda Item No. 13 CI'T'Y OF SAN BERNARDINO - REQUEST FOR COUNCIL ACTION STAFF REPORT SUBJECT: Award of Contract - Re-roof Fire Stations #9 and #11 per plan No. 9776 BACKGROUND: Applications for the re-roof of fire station No. 9 located at 2nd. street and Meridian Ave. and fire station No. 11 located on Vanderbilt Way in the Tri-City area were submitted by the Facilities Management Division and approved for CDBG funding. Bids for this project were opened on Tuesday may 26, 1998 at 2:00 pm. A total of 3 bids were received and ranged from a low of$29,528.00 to a high of$61,606.00; the low bid is $22,072 below the Engineer's Estimate of $51,600.00. Listed below are the estimated construction costs based on the low bid for construction: Construction Contract $29,606 Engineering and Inspection 3,195 Subtotal $32,723 Contingencies (19%) $ 6,277 TOTAL ESTIMATED COST $39,000 FINANCIAL IMPACT: Funding for the cost of the re-roof of the fire stations is in the Community Development Block Grant Program (CDBG) under account No. 8069019 in an amount of $30,000.00 and under account No. 8069020 in an amount of$30,000.00 for a total available amount of $60,000.00. RECOMMENDATION: Staff recommends adoption of the resolution awarding the contract. RESOLUTION NO. COPY 1 RESOLUTION OF THE MAYOR AND COMMON COUNCIL OF THE CITY OF SAN BERNARDINO AWARDING A CONTRACT TO WILTSHIRE URETHANE FOAM 2 COMPANY FOR REROOFING OF FIRE STATIONS #9 AND #11 3 4 BE IT RESOLVED BY THE MAYOR AND COMMON COUNCIL OF THE CITY OF 5 SAN BERNARDINO AS FOLLOWS: 6 SECTION 1. WILTSHIRE URETHANE FOAM COMPANY is the lowest responsible 7 bidder for: REROOFING OF FIRE STATIONS #9 AND #11 per Plan No. 9776 . A contract 8 is awarded accordingly to said bidder in a total amount of$29,528.00, but such award shall be 9 effective only upon being fully executed by both parties. All other bids, therefore, are hereby 10 11 rejected. The Mayor is hereby authorized to execute said contract on behalf of the City; a copy 12 of the contract is on file in the office of the City Clerk and incorporated herein by reference as 13 fully as though set forth at length. 14 SECTION 2. This contract and any amendment or modifications thereto shall not take 15 effect or become operative until fully signed and executed by the parties and no party shall be 16 obligated hereunder until the time of such full execution. No oral agreements, amendments, 17 18 modifications or waivers are intended or authorized and shall not be implied from any act or 19 course of conduct of any party. 20 SECTION 3. No. 98-136 Attached are the following: One (1) original bound contract and three (3) duplicate original bound contracts awarding a contract to Wiltshire Urethane Foam Company for reroofing of Fire Stations #9 and #11. Please obtain necessary signatures on all documents and return the fully executed original to the City Clerk's office for filing with said resolution. Said bound contracts have been executed by the Mayor, City Clerk and City Attorney. Please be advised that said resolution was adopted on June 15, 1998, and will be rescinded if parties fail to execute said documents within sixty (60) days of the passage of this resolution.
