CITY OF SAN BERNARDINO - REQUEST FOR COUNCIL ACTION
STAFF REPORT
BACKGROUND
It is requested that the Mayor and Common Council approve an increase to the Purchase Order
providing hydraulic parts and supplies from Kaman Industrial Technologies Corporation. An
interim purchase order was issued on July 1, 1997, in the amount of$24,500.00. The Fleet Division
maintains approximately thirty(30) purchase orders for parts and services as required by the Fleet
which is comprised of more than 600 vehicles of various manufacture. Purchase order expenditure
limits are estimated based on experience from the prior year,however, actual expenditure
requirements fluctuate from year to year based on actual needs of the fleet. All of our refuse trucks,
backhoes, aerial lifts and specialized equipment are equipped with numerous hydraulic hoses in
order to convey high pressure hydraulic fluid and operate special functions. Hydraulic hoses and
connectors periodically require replacement and repair which are conducted by our mechanics in
order to expedite repairs and reduce costs. An increase of$7,000.00 is necessary to continue
providing parts for hydraulic hoses. The purpose of this request is to provide appropriate purchase
limits for the remainder of the fiscal year.
KAMAN INDUSTRIAL TECHNOLOGIES CORPORATION
Kaman Industrial Technologies is a Gates distributor,providing hydraulic hoses, fittings and
bearings for specialized equipment. Gates parts are a selected source product. Gates Products were
selected by our mechanics and mechanic supervisor through extensive experience with hydraulic
hose fabrication and repair. Additionally,our machinery used for line fabrication and repair is only
compatible with Gates products. Kaman is located in San Bernardino and replenishes our stock
weekly.
FINANCIAL IMPACT
Funds for this purchase order are contained in the Public Services Department,Fleet Division Fiscal
Year 97/98 Budget.
RECOMMENDATION
That the Mayor and Common Council authorize the Purchasing Manager to increase the purchase
order to Kaman Industrial Technologies Corporation by$7,000.00 for specific equipment.

5 BE IT RESOLVED BY THE MAYOR AND COMMON COUNCIL OF THE CITY OF
6 SAN BERNARDINO AS FOLLOWS:
7 SECTION 1. That Kaman Industrial Technologies Corporation, a local vendor

specializes in "Gates" hydraulic hoses and fittings and also bearings for our heavy equipment fleet.

10 The total amount "not to exceed" $31,500.00;pursuant to this determination,the Finance
11 Department is hereby authorized to increase the Annual Purchase Order by$7,000.00 for said
12 Kaman Industrial Technologies Corporation.
13 SECTION 2. The authorization to execute the above-referenced Annual Purchase Order
14 is rescinded if it is not issued within sixty(60) days of the passage of this resolution.
