Description) Landscape Contracts Finance: Council Notes: �t D 08/07/00 Agenda Item No. STAFF REPORT Subject Resolution authorizing increases in the annual purchase order amounts to Van Herrick Landscaping and RP Landscaping for the provision of non-routine landscape maintenance services and the purchase of related materials. Background In July of 1998, the Mayor and Common Council authorized the execution of three-year annual contracts between the City and Van Herrick Landscaping (Reso #98-190) and RP Landscaping (Reso #98-189) for the provision of routine landscaping services. Contracts were issued to the (2) two low responsible vendors. The contract with Van Herrick Landscaping was issued in an amount not to exceed $132,956 annually. During the first year of the contract (FY 1998-99), $132,190.70 was paid to Van Herrick's for landscaping services. The total amount of work completed by Van Herrick's in FY 1999- 2000 is $143,587. The contract with RP Landscape was issued in an amount not to exceed $157,536 annually. During the first year of the contract, $157,476.53 was paid to RP Landscape. The total amount of work completed by RP Landscape in FY 1999-2000 is $160,065.43. The Parks Division in their original estimates did not factor unforeseen repairs due to vandalism, irrigation component replacement, plant material replacement, and major tree trimming. Only routine maintenance was calculated into original estimates. The Parks and Recreation Department is requesting that the Mayor and Common Council authorize an increase in the annual purchase order amount to Van Herricks by $10,631 for FY 1999-2000, bringing the total amount to $143,587. For FY 2000-2001, an increase of $12,000 is requested, bringing the total annual amount for FY 2000-2001 to $144,956. The Parks and Recreation Department is also requesting that the Mayor and Common Council authorize an increase in the annual contract amount to RP Landscape by $2,529.43 bringing the total amount to $160,065.43 for FY 1999-2000. For FY 2000- 2001, an increase of $12,000 is requested, bringing the total annual amount for FY 2000-2001 to $169,536. The third and final year of both contracts will expire on 6/30/01 and the Parks Division will go out to bid again at that time for these services and materials. Financial Impact Sufficient funding for these contracts was included in the Parks and Recreation Department's FY 1999-2000 and FY 2000-2001 budgets, 001-382-5506 (landscape contracts). Recommendation Adopt Resolution 1 RESOLUTION NO. 2 RESOLUTION AUTHORIZING INCREASES IN THE ANNUAL PURCHASE ORDER AMOUNTS TO VAN HERRICK LANDSCAPING AND RP LANDSCAPING 3 FOR THE PROVISION OF NON-ROUTINE LANDSCAPE MAINTENANCE 4 SERVICES AND THE PURCHASE OF RELATED MATERIALS. 5 BE IT RESOLVED BY THE MAYOR AND COMMON COUNCIL OF THE 6 CITY OF SAN BERNARDINO AS FOLLOWS: 7 SECTION 1. That Van Herrick Landscaping and RP Landscaping provide routine 8 landscaping services through a multi year annual contract. Van Herrick Landscaping and RP 9 10 Landscaping also provide non-routine services associated with vandalism repairs, plant material replacement, replacement of irrigation components and major tree trimming. Pursuant 11 12 to this determination the Purchasing Manager is hereby authorized and directed to increase the 13 annual purchase order amounts for Van Herrick Landscaping by $10,631 for FY 1999-00 and 14 $12,000 for FY 2000-01 and to RP Landscaping by $2,529.43 for FY 1999-00 and by$12,000 15 for FY 2000-01. 16 SECTION 2.
