ZX, Finance Council Notes: UL ULLV- Agenda Item No. _ Hydra Force CITY OF SAN BERNARDINO - REQUEST FOR COUNCIL ACTION STAFF REPORT SUBJECT Resolution authorizing the execution of an Annual Purchase Order,with two single year renewal options,to Hydra Force Inc. for hydraulic cylinder manufacturing, repair, and service. BACKGROUND Notices inviting bids for FY2000/2001 annual purchase of the manufacturing, repair,maintenance and supplies of hydraulic cylinders for heavy trucks and equipment,Bid No.F-01-14,were sent to seven (7) local and area vendors,the San Bernardino Chamber of Commerce, advertised in The Sun newspaper, and on the City's WEB page. Two (2) responses were received; one no bid from Commercial Honing Company, Inc. of Fontana and one (1) sealed bid was received from Hydra Force, Inc,which was the awarded bidder in the last two years. Hydra Force, Inc. is located in Riverside and specializes in the manufacture and repair of large hydraulic cylinders used to lift the "beds" of Refuse and other dump trucks. Hydraulic cylinders are a major component used on heavy trucks and equipment common to Refuse, Streets,Parks, and Development Services Departments. FINANCIAL IMPACT Funds for this purchase order are contained in the Public Services Department,Fleet Division Fiscal Year 2000/2001 budget, Outside Vehicle Maintenance account in the amount of$65,000. RECOMMENDATION It is recommended that the Mayor and Common Council authorize the Purchasing Manager to issue an Annual Purchase Order,with two single year renewal options,to Hydra Force, Inc. for a"not to exceed" amount of$65,000 for hydraulic cylinder service and materials in support of the City's Heavy Equipment Fleet. 1 1 Resolution No. 2 RESOLUTION AUTHORIZING THE EXECUTION OF AN ANNUAL PURCHASE ORDER, WITH TWO SINGLE YEAR RENEWAL OPTIONS, TO 3 HYDRA FORCE INC. FOR HYDRAULIC CYLINDER MANUFACTURING,REPAIR, 4 AND SERVICE TO BE UTILIZED BY THE FLEET DIVISION. 5 BE IT RESOLVED BY THE MAYOR AND COMMON COUNCIL OF THE CITY OF SAN BERNARDINO AS FOLLOWS: 6 SECTION 1. That Hydra Force, Inc. specializes in custom manufacturing and repair of 7 8 hydraulic cylinders for heavy trucks and equipment. The Purchasing Manager is hereby authorized 9 and directed to issue an Annual Purchase Order,with two single year renewal options,to Hydra 10 Force, Inc. in an amount "not to exceed" $65,000 as a result of Bid No. F-01-14. This Annual 11 Purchase Order and future year renewal options shall be contingent upon funds being approved in 12 the City's Budget for this service. 13 SECTION 2.
