Description)—Material & Supplies Finance: 4.d&41 Council Notes: Agenda Item No. 9 7/ay/avV6 • STAFF REPORT SUBJECT Resolution authorizing the Purchasing Manager to issue purchase orders to Long Beach Uniform in the amount of$39,000 for replacement of Class "B" Uniform and to Allstar Fire Equipment in the amount of$35,000 for replacement of safety equipment. BACKGROUND Through normal and continual use, uniforms and safety equipment become worn or damaged, and need to be replaced. These items are purchased from vendors that have been awarded annual purchase orders to supply their merchandise. Request for Quotations (RFQ) F-01-06 was sent out to 11 local and area vendors, San Bernardino area Chamber of Commerce, advertised in the San Bernardino County Sun, and advertised on the City's web site. The following are the results of the bid evaluation for each category: Category 1 - Class "B" Uniforms Rank List of Bidders Location Bid 1 Long Beach Uniform Riverside $38,390 2 Angelo's Bootery San Bernardino Boot Bid Only Category 2 - Safety Equipment Rank List of Bidders Location Bid 1 Allstar Fire* Arcadia $35,000 2 Haaker Equipment Pomona No Bid 3 Fire Service Spec. Santa Ana No Bid * Allstar Fire was the lowest bidder on safety boots. Pursuant to the City's bidding process, it is recommended that Long Beach Uniform be awarded an annual purchase order in the amount of$39,000 for procurement of Class "B" Uniform safety boots and work uniforms to the Fire Department. Further, it is recommended that an annual purchase order be issued to Allstar Fire Equipment in the amount of$35,000 for procurement of replacement safety equipment. Both awards include the option, at the City's discretion, of renewing the contracts annually for up to three years. Requests to renew either contract will be brought to the Mayor and Council for approval. FINANCIAL IMPACT The total dollar amounts as indicated above were authorized, and included in the Fire Department 2000-2001 budget. The total amount budgeted for safety equipment and Class "B" uniforms was $74,000 for fiscal year 2000/2001. This amount covers safety equipment needs as well as the annual Class "B" uniform requirements that are stated in the Fire Department's Memorandum of Understanding. RECOMMENDATION Adopt resolution. - 2 3 RESOLUTION 4 RESOLUTION OF THE MAYOR AND COMMON COUNCIL OF THE CITY OF SAN 5 BERNARDINO AWARDING PURCHASE ORDERS TO 1.) ALLSTAR FIRE EQUIPMENT FOR PURCHASE AND DELIVERY OF REPLACEMENT SAFETY 6 GEAR, AND 2.) LONG BEACH UNIFORM FOR PURCHASE AND DELIVERY OF REPLACEMENT WORK UNIFORMS. 7 BE IT RESOLVED BY THE MAYOR AND COMMON COUNCIL OF THE CITY OF 8 SAN BERNARDINO AS FOLLOWS: 9 SECTION 1. That Allstar Fire Equipment is the lowest and best bidder for the 10 following replacement safety gear: protective fire resistant hoods, turnout gear, structural 11 firefighting gloves, brush jackets and pants, and safety boots. Pursuant to this determination, 12 the Purchasing Manager is hereby authorized and directed to issue an Annual Purchase Order to 13 14 Allstar Fire Equipment for said replacement safety gear in an amount not to exceed$35,000. F 15 SECTION 2. That Long Beach Uniform is the lowest and best bidder for replacement 16 Class `B" work uniforms. Pursuant- to this determination, the Purchasing Manager is 17 authorized and directed to issue an Annual Purchase Order to Long Beach Uniform for said 18 replacement uniforms in an amount not to exceed $39,000. 19 SECTION 3.
