Subject:
Resolution of the City of San Bernardino authorizing the renewal of the existing maintenance
contract for Stratus servers with Stratus Technologies of Maynard, Massachusetts.
Background:
The Police Department has used a computer aided dispatch (CAD) system for more than 15
years. It has used a records management system (RMS) for more than 20 years. Both systems
were approved for a major upgrade in September 2002 (resolution #2002-306). The server
hardware used to run the software and databases was approved for upgrade in the same
resolution.
The servers are used in a 2417 environment. It is critical that they are maintained at peak
performance to ensure system stability. Stratus Technologies is the manufacturer and the sole
provider of maintenance and support for the servers. This annual maintenance contract provides
essential hardware monitoring, parts, repairs, and 24/7 telephone support services for our
department.
Financial Impact:
The annual cost for Stratus server maintenance for fiscal year 2005/2006 is $28,596.00. The
amount for fiscal year 2004/2005 was $20,892.00 for an increase of $7,704.00.
Recommendation:
Adopt resolution.

RESOLUTION OF THE CITY OF SAN BERNARDINO AUTHORIZING THE
RENEWAL OF THE EXISTING MAINTENANCE CONTRACT FOR STRATUS SERVERS
WITH STRATUS TECHNOLOGIES OF MAYNARD, MASSACHUSETTS.
BE IT RESOLVED:
SECTION 1. That Stratus Technologies is a sole source provider of maintenance
services for the Stratus servers used by the San Bernardino Police Department for the CADTi
and RMSTi software.
SECTION 2. That the Mayor and Common Council authorize the Purchasing
Manager to issue a purchase order for $28,596.00 to Stratus Technologies, of
Maynard, Massachusetts for maintenance services. The Purchase Order shall reference the
number of this resolution and shall incorporate the terms and conditions of the existing
maintenance contract, which is on file in the City Clerk's Office. The Purchase Order shall
read, "Annual contract FY 2005/2006 for maintenance and support services of Sites 2491 and
2492. Not to exceed $28,596.00."
