Bids for this project were received at 2:30 p.m. on Tuesday,
8-20-85.
A total of 2 bids were received, in the amounts of $77,342.00 and
$82,370.00. The low bid of $77,342.00 is 28.9% over the Architect/
Engineer's Estimate of $59,998.00.
Listed below is an estimate of the total project "cost, based upon
the actual low bid price:

An amount of $60,000 has been allocated, under Account No.
001-322-56222, to finance"the cost incurred for this project. Supple-
mental funds in the amount of approximately $40,000 will be needed to
fully finance the total estimated project cost.
The work involved in this expansion will be done in a highly visible
area. Access must be maintained at all times to the elevators and Council
Chambers. In order to achieve uninterrupted access, some items of work are
required by the special provisions to be done after normal working hours.
This increases the cost, since the Contractor must pay overtime wages for
these items.
Even though this is a relatively small project, there are several
sub-contractors involved. The bids are, therefore, comprised mainly of
amounts quoted by the sub-contractors. This means the Contractor has very
little control on the bid price. .
Several contractors were contacted and requested to submit a bid.
The prevailing attitude was that they were too busy with other projects.
The Project Architect is reviewing the bids to determine if there
is any possibility of cost savings. We are reviewing possible sources of
securing the supplemental funding.
A request to award a contract, or reject all bids, will be made
when these reviews are complete.
URGENCY CLAUSE:
Award of a contract must be made within 30 days after bid opening, or the
Contractor can withdraw his bid.
