STAFF REPORT
SUBJECT
Resolution authorizing an Annual Purchase Order for the purchase of heavy duty vehicle repair parts
and service.
BACKGROUND
Notices inviting bids for FY 99/00 annual purchase orders for the purchase of heavy duty vehicle
repair, which includes truck brake service, brake parts, and other related services, were sent to
eighteen (18) vendors and the San Bernardino Chamber of Commerce. Bidders were required to bid
on various services and parts for Bid No. F- 00 -06. Four (4) sealed bids were received and opened on
June 22, 1999. For bid comparison purposes, comparable bid item totals were compiled for which all
bidders submitted prices.

The operational requirements of the fleet, vendor capability and vendor backlog dictate the use of
multiple vendors. As such, the top three ranked vendors are recommended for bid award. Orders
will be directed to these three vendors according to bid rank and verifying their ability to perform in a
timely manner. It continues to be the policy of the Fleet Division to use local San Bernardino
vendors when cost and availability are consistent with the operational requirements.
FINANCIAL IMPACT
Funds for these purchase orders are contained in the Public Services Department, Fleet Division
Fiscal Year 99/00 Budget.
RECOMMENDATION
That the Mayor and Common Council authorize the Purchasing Manager to issue an Annual Purchase
Order in an amount "not to exceed" $120,000 to Associated Truck Parts; McCray Enterprises Parts
and Colton Truck Supply for the purchase of heavy duty vehicle repair parts and service.

RESOLUTION OF THE CITY OF SAN BERNARDINO AUTHORIZING THE
EXECUTION OF PURCHASE ORDERS BETWEEN THE CITY OF SAN
BERNARDINO AND ASSOCIATED TRUCK PARTS, MCCRAY ENTERPRISES
PARTS, AND COLTON TRUCK SUPPLY FOR THE PURCHASE OF HEAVY DUTY
VEHICLE REPAIR PARTS AND SERVICES UTILIZED BY THE PUBLIC SERVICES
DEPARTMENT FLEET DIVISION.
BE IT RESOLVED BY THE MAYOR AND COMMON COUNCIL OF THE
CITY OF SAN BERNARDINO AS FOLLOWS:
SECTION 1. That Associated Truck Parts, McCray Enterprises Parts, and Colton Truck
Supply provides heavy duty vehicle repair parts and service for heavy equipment fleet. Pursuant to
this determination and the results of Bid No. F-00-06, the Purchasing Manager is hereby
authorized and directed to issue an Annual Purchase Order to Associated Truck Parts, McCray
Enterprises Parts and Colton Truck Supply in an amount not to exceed $120,000.
SECTION 2. The authorization to execute the above referenced Annual Purchase Order
is rescinded if the purchase order is not issued within sixty (60) days of the passage of this
resolution.
