CITY OF SAN BERNARDINO - REQUEST FOR COUNCIL ACTION
STAFF REPORT
BACKGROUND
It is requested that the Mayor and Common Council approve an increase of$6,000.00 to the purchase order
providing maintenance materials and services from Colton Truck located in San Bernardino. The Fleet Division
maintains approximately thirty(30) purchase orders for parts and services as required by the Fleet which is
comprised of more than 600 vehicles of various manufacture. Purchase order expenditure limits are estimated
based on experience from the prior year,however, actual expenditure requirements fluctuate from year to year
based on actual needs of the fleet. Purchase orders were issued in the amounts of$24,500.00 on July 1, 1997 and
$13,000.00 on January 26, 1998, for a total amount of$37,500.00. Due to the positive availability of truck parts and
advantageous pricing, usage of this purchase order increased while other purchase order usage decreased. The
purpose of this request is to provide appropriate purchase limits for the remainder of the fiscal year.
COLTON TRUCK
Colton Truck is a selected source provider. They maintain a large shelf inventory of various truck parts common to
the Refuse and other heavy duty trucks contained in the City Fleet. Colton Truck is located within the City of San
Bernardino,which enables them to provide prompt delivery of parts resulting in timely repairs and reduced down
times. Additionally,Colton Truck promptly locates and provides obsolete and hard to find parts for older trucks
and equipment in our fleet, resulting in extended life cycles.
FINANCIAL IMPACT
Funds for this purchase order are contained in the Public Services Department,Fleet Division Fiscal Year 97/98
Budget.
RECOMMENDATION
That the Mayor and Common Council authorize the Purchasing Manager to increase the annual purchase order to
Colton Truck by$6,000.00 to purchase parts for heavy duty trucks.

5 BE IT RESOLVED BY THE MAYOR AND COMMON COUNCIL OF THE CITY OF
SAN BERNARDINO AS FOLLOWS:

7 SECTION 1. That Colton Truck is a selected source provider of parts for the Refuse and
8 other heavy equipment fleet. The total amount "not to exceed" $43,500.00; pursuant to this
9 determination,the Finance Department is hereby authorized to increase the Annual Purchase
10 Order by$6,000 for said Colton Truck.
11 SECTION 2. The authorization to execute the above-referenced Annual Purchase Order

is rescinded if it is not issued within sixty(60) days of the passage of this resolution.
