Ax?~i1/7' 2 RESOLUTION OF THE CITY OF SAN BERNARDINO APPROVING THE DESTRUCTION OF CERTAIN RECORDS BY THE FINANCE DEPARTMENT. 3 BE IT RESOLVED BY THE MAYOR AND COMMON COUNCIL OF THE CITY 4 OF SAN BERNARDINO AS FOLLOWS: 5 SECTION 1. The Mayor and Common Council of the City of 6 San Bernardino do hereby approve the destruction by the Finance 7 Department of certain records, more particularly described in 8 Exhibit "A", attached hereto and incorporated herein as fully as 9 though set forth at length. 10 SECTION 2. It is hereby found and determined that the 11 nature of said records permits their destruction pursuant to 12 Government Code Section 34090, and further, that the City Attorney I 13 'has duly consented to such destruction. 14 I HEREBY CERTIFY that the foregoing resolution was duly 15 adopted by the Mayor and Common Council of the City of San 16 Bernardino at a ,/~~{~<J on the (~/~rday of:l.)..zt..t~ meeting thereof, held 17 , 1977, by the following 18 vote, to wit: 19 AYES: c=z;ne:~~7 .~ ~. Root Director of Finance Date November 4, 1977 Date Approved The Director of Finance is requesting that this department be allowed to destroy records dated prior to July 1, 1972. The records in_ question are: 1. General Ledgers 2. Daily Cash Receipts 3. Invoices 4. Cash Receipt Summaries 5. Journal Vouchers 6. Cash Transfers 7. Completed Work Orders 8. General Accounting Payroll Records 9. Water/Sewer Claims 10. Accident Billings-Paid 11. Insurance Records 12. Flood Damage Records 13. Fire Damage Records 14. Asphalt Emulsion Records 15. Commercial Check Registers 16. Purchase Orders 17. Accounts Payable Recaps 18. Accounts Payable Paid Claims 19. Time Cards 20. Transaction Register 21. Payroll Register 22. Spread Deduction Register 23. Individual Deduction Register 24. Compo Deduction Register 25. Insurance Deduction Register The records are quite bulky in size and take up space which can be utilized for other purposes. There is no need to keep these reoords beyond a five year period.
