STAFF REPORT
New duplicating equipment for the Print Shop is included in the Budget.
Upon analysis of the existing systems, the Finance Department
recommends placing a Xerox 5090 Duplicator in the Print Shop. The
amount applicable to the 1989/90 budget would be approximately $38,000.
The Xerox 5090 provides a much more efficient and cost effective.
System for the city.
The following are four specific examples of costs savings:
A council agenda with 600 originals and 35 sets cost the city $1,100
to produce. It would cost $1,680 if done by a commercial quick
print company. It will cost $473 on the Xerox 5090. This will save
the City an average of $15,000 per year.
We expect to pull a minimum of 50,000 copies per month from floor
copiers and into the Print Shop. This will decrease the maintenance
cost of the floor machines. In addition to an annual savings of
approximately $36,000 overall quality and turn around time will
improve dramatically.

The General Plan documents printed by DiLine Printers cost the city
$90 per document. The cost of the documents printed in-house on our
present equipment was $45 per document. The cost of printing the
same document on the Xerox 5090 would have been $7.80. At 90 copies
this would provide a minimum savings of $3,348.
As you can see, over $60,000 of potential savings have been identified
with just four jobs. Even greater savings are expected when the Xerox
5090 is in place and used for other Print Shop applications.
The City can lease purchase a Xerox 5090 duplicator on a five year
lease with a 7.1% interest rate. This equates to $4,750 per month
which includes lease payment, maintenance, 250,000 copies per month and
supplies.
The lease purchase of the Xerox 5090 duplicator will increase the
efficiency and economy of the City's duplication operation. The City's
current fiscal condition mandates the exploration of ways to increase
operational efficiency without large increases in operating costs. The
Xerox 5090 meets both of these requirements.
