Background: In order to maintain oversight for compatibility and to ensure that cumulative purchases do not exceed prescribed City financial limits, the Department of Finance prepares a single purchase order with one vendor for this type of purchase. Council approved an allocation for the contract purchase order with TigerDirect of$35,000 for FY 2010-11. The selection of TigerDirect is based upon this vendor's ability to provide the variety of parts required, in addition to them having the most competitive pricing available. This determination was based on a price comparison conducted in May of 2011 of the most frequently purchased items. As the City's computer environment has aged, the need for replacement parts and memory to support current software demands has increased. The majority of the City's desktop computers are now six years old still using an operating system released eight years ago. Current software, such as Microsoft Office 2010, requires increased memory and processing power. Additionally, as the City's computer base continues to age, monitors, printers, and other parts will need to be replaced. In order to accommodate an anticipated volume increase in demand for replacement parts,the IT Department is requesting an allocation of$40,000 for FY 2011-12. Financial Impact: The total amount per department may vary based upon required equipment replacements within the fiscal year. The purchases will be charged against various account numbers as specified by the departments when ordering the equipment. Before the purchase requests are processed, IT, in conjunction with the Finance Department, verify the availability of funds in the department account to be charged. Recommendation: Adopt resolution. COPY 1 RESOLUTION NO. 2 RESOLUTION OF THE MAYOR AND COMMON COUNCIL OF THE CITY OF 3 SAN BERNARDINO TO AUTHORIZE A CONTRACT PURCHASE ORDER WITH TIGERDIRECT THROUGH FY 2011-12, ALLOCATING $40,000. 4 5 BE IT RESOLVED BY THE MAYOR AND COMMON COUNCIL OF THE 6 CITY OF SAN BERNARDINO AS FOLLOWS: 7 SECTION 1: That the Director of Finance or his/her designee is hereby authorized 8 to issue a purchase order with TigerDirect for FY 2011-12, in an amount not to exceed 9 $40,000. Penman, City Attorney 26 27 28 L City of San Bernardino Information Technology Division Interoffice Memorandum To: Charles McNeely, City Manager From: Lea Deesing, Information Technology Director Subject: Selected Source Purchase Request for computer parts from TigerDirect, pursuant to Municipal Code Chapter 3 .04 .010 (B) (3) Date: May 16, 2011 Copies: The City would like to continue to utilize computer parts supplier TigerDirect due to their ability to provide the variety of parts required, in addition to them having the most competitive pricing available. Specifically, the Information Technology Department recommends that the City continue to using TigerDirect for the following reason: 1. The City recently conducted a cost survey of the top five most frequently purchased items. TigerDirect' s pricing was significantly lower than two local vendors used in the comparison. The Information Technology Department requests that the City Manager authorize a selected source purchase for various computer parts, pursuant to San Bernardino Municipal Code Section 3.04 .010 (B) (3) .
