BE IT RESOLVED BY THE MAYOR AND C0I1MON COUNCIL OF THE CITY OF SAN BERNARDINO AS FOLLOWS: SECTION 1. The Mayor is hereby authorized and directed to execute, on behalf of the City, the letter agreement which constitutes Amendment No.2 to the Engineering Services Agreement for the improvement of Tippecanoe Avenue Bridge, entered into the 2nd day of September, 1980, by and between the City of San Bernardino and C M Engineering Associates. A copy of the letter agreement constituting Amendment No.2 is attached hereto and incorporated herein by reference. No. 03-78-11 Re: Engineering Services for Agreement No. 503380-1 for Tippecanoe Avenue Bridge Over Santa Ana River Your File NO. 1.0471 Dear Mr. Hardgrave: This is to confirm the several discussions regarding the status of costs for completing design, engineering and additional services for the Tippe- canoe Avenue Bridge project. Certain additional services were provided that would be classified as Supplemental Services (Paragraph 04 Phase IV) or Extra Work (Paragraph 05 Changes in Work Scope). These additional services included: 1. Coordination with County of San Bernardino and review of right-of way acquisitions (B2). 2. Preparation work Environmental Impact Statement (04). 3. Preparation work public hearings and meetings (04). 4. Relocation, design and specifications for 16-inch City water line, completed at City request. 5. Coordination with Southern California Edison Company on location and protection of 115 KV Transmission Lines 350 feet downstream from project limits. 6. Additional coordination and negotiation with Gage Canal Company and City of Riverside for right-of-way approval and design plan requirements. The majority of the extra work was for the relocation design, and speci- fications for the City's 16-inch water line. The costs for the water line that were included in Design Engineering (3-78-11-02) are: Design.................. .$4,079.50 Existing Utility......... 1,193.00 Proposed Utility......... 80.25 Overall administration and coordination....... 3,640.00 $8,992.75 The above amounts should be transferred to Work Order No. 03-78-11-06. 225 E, Airport Dr. . HARDGRAVE May 2, 1985 Page Two An early attempt to set up a separate account for the water line relocation (item #4) resulted in your request to include costs as part of Design Engineering (C M Work Order No. 03-78-11-02). The result of discussions was that maintaining separate costs for additional extra work items was difficult and subsequent discussions with Cal-Trans concluded that when project work was completed, any overages would be ar- ranged for payment. Please confirm that the entire contract cost for services can be handled as one total sum instead of separate or different increments or sections of the contract. Adjustments are to be made for individual sections with this letter and Amendment No.2. Attached is a summary of status of compensation and requests for payment. The local office of the California Department of Transportation has con- firmed that this type of letter would suffice if the City was in agreement with the changes requested. If the above meets with your approval, please feel free to either have the necessary City signature approval on this let- ter or forward a separate letter of approval and authorization.
