Recommended Motion:
That the Mayor and Common Council authorize the Director of Finance to amend
the FY 2001-02 Telecommunications Division adopted budget and transfer
savings from salaries (Account NO.1 07-261-5011) to the appropriate MS & S
accounts to accommodate the associated relocation costs.

Staff Report
Subiect:
Request to use Salary Savings to fund Other Professional Services and allow the
Telecommunications Division to remain within the budgeted allocations for this
fiscal year.
Backaround:
The Telecommunications Division was requested by the Economic Development
Agency on December 17, 2001 to move its administrative offices from their
original location on the first floor of the Economic Development Agency building,
adjacent to the Channel 3 production facilities to available office space on the
second floor. The request was made to accommodate the Convention and
Visitors Bureau need to expand their office space.
Staff began to make the necessary preparation for the move, which took place
December 24 through the 30, 2001. Because of this move, the
Telecommunications Division incurred some expenses in setting up the new
space. Furniture that was previously used in the Telecommunications Division
reception area had to be returned to production for its use, due to the fact it is
production set furniture, an alarm system needed to be installed to ensure the
television equipment located on the 2nd floor was secure. Doors to the new
office space needed to have locks added and have existing locks re-keyed to
accommodate the existing key structure within the Division.
At the same time, three of the City Council Chambers cameras required
extensive repairs to allow the continued cablecast of City Council meetings. The
repair of these cameras completely depleted the Equipment Maintenance
Account within the Divisions budget. Therefore an administrative transfer of
funds from the Meetings & Conference account and Education & Training
account was made in December 2001 to cover unanticipated equipment repair
costs and the cost for the move. Both accounts that were initially funded need to
be replenished to continue operating within budgeted line items.
It is requested that $12,500.00 be transferred from salary savings from the
vacant Telecommunications Engineering Technician position to line items within
the operating budget to cover the unanticipated expenditures relating to the
move.

Funding for this budget amendment in the amount of $12,500.00 will be covered
by the salary savings from the vacant position as noted below commencing the
period from July 1, 2001 to March 31, 2002.

That the Mayor and Common Council authorize the Director of Finance to amend
the FY 2001/02 Telecommunications Division adopted budget and transfer
savings from salaries (Account No. 107-261-5011) in the amount of $12,500.00
to the above listed MS & S accounts to accommodate the associated relocation
costs.
