Staff Report
Subject:
Resolution authorizing the execution of an Annual Purchase Order, with four single year
renewal options, to Kaman Industrial Technologies, for Gates hoses, hydraulic fittings and
bearings for the City's heavy equipment fleet.
Background:
Notices inviting bids for FY2003/04 annual purchase of Gates hoses, hydraulic fittings and
bearings, Bid No. F-04-06 were sent to four (4) vendors, the San Bernardino Area Chamber
of Commerce, advertised in The Sun Newspaper and the City Web page. Two (2)
responses were received. For bid comparison purposes, comparable bid item totals were
compiled for which both bidders submitted unit prices.

Kaman Industrial Technologies was the lowest responsive bidder and is a Gates products
distributor. Gates is a product manufacturer for hydraulic specialized equipment. The Fleet
Division, through extensive experience with hydraulic hose fabrication and repair, has
selected Gates products due to their long maintenance life and low cost. The City fleet has
been standardized to use these Gates fittings. All refuse trucks, back hoes, aerial lifts, and
specialized equipment are equipped with numerous high pressured Gates hydraulic hoses
and fittings.
Financial Impact:
Funds for this Annual Purchase Order are contained in the Public Services Department,
Fleet Division Fiscal Year 2003/04 Accounts Nos. 635-341-5111, Materials and Supplies
and 635-341-5172, Equipment Maintenance budget accounts in the amount of $25,000 and
$1 ,000 respectively.
Recommendation:
Adopt resolution.

RESOLUTION NO.
RESOLUTION OF THE MAYOR AND COMMON COUNCIL OF THE CITY OF
SAN BERNARDINO AUTHORIZING THE EXECUTION OF AN ANNUAL
PURCHASE ORDER, WITH FOUR SINGLE YEAR RENEWAL OPTIONS, TO
KAMAN INDUSTRIAL TECHNOLOGIES, FOR GATES HOSES, HYDRAULIC
FITTINGS AND BEARINGS FOR THE CITY'S HEAVY EQUIPMENT FLEET.
BE IT RESOLVED BY THE MAYOR AND COMMON COUNCIL OF THE CITY
OF SAN BERNARDINO AS FOLLOWS:
SECTION 1. That Kaman Industrial Technologies specializes in Gates hoses,
hydraulic fittings, and bearings which have been adopted as a standard for the City's
heavy equipment fleet; and is the lowest responsive bidder for the furnishing of said
Gates parts, pursuant to this determination, and as a result of Bid No. F-04-06, the
Purchasing Manager is hereby authorized to issue an Annual Purchase Order, with
four single year renewal options, to Kaman Industrial Technologies, in an amount not
to exceed $26,000.
SECTION 2. The Purchase Order shall reference this Resolution No. 2003-
and shall read. "Gates hoses, hydraulic fittings, and bearings for heavy
equipment fleet", P.O No
, not to exceed $26,000", and shall incorporate the
terms and conditions of the Contract, which is on file in the City Clerk's Office.
SECTION 4. The authorization to execute the above referenced Purchase
Order is rescinded if not issued within sixty (60) days of the passage of this resolution.
