That Minutes of Council Committee Meetings be filed with the City Clerk and
distributed to the Mayor, Councilmembers, City Administrator, City Attorney,
City Treasurer and be made available to the press and others upon request.

STAFF REPORT
As previously discussed, the process of having the Minutes of
the various Council Committees appear on the regular Mayor
and Council Agenda, periodically, results in confusion.
The adopted procedure is for each item requiring official
action to be placed on the regular Agenda of the Mayor and
Council. Frequently, an item referred to a Committee appears
in Committee Minutes more than once (with multiple
appearances on the regular Council Agenda.).
This has resulted in additional paperwork, items being
overlooked for final action because they have appeared so
many times, questions at Council meetings, ("Hasn't there
already been action on this?", etc.) It is recommended,
therefore, that the Minutes of Council Committees be
distributed as a matter of information, rather than being
listed on the regular Agenda.
The availability of the information will not change; it would
just be in a different format. Action items would still be
placed on the regular Agenda for Mayor and Council
consideration.
