(Resolution included 2 one year extensions.) 12-16-02 - Council adopted Resolution No. 2002-384 awarding a Purchase Order to W.' Wood & Associates for comprehensive maintenance of landscape and irrigation for the San Bernardino Soccer Complex for a period of December I, 2002 through June 30, 2003. P. Landscape for . Central Facilities; and W. Wood & Associates for San Bernardino Soccer Complex for a period of twelve (12) months in accordance with bid specification F06-04 A, B, & c. Back2.round: The proposed agreement is for landscape and irrigation maintenance services for the period of (12) months plus two one-year extensions, to be utilized by the Parks, Recreation and Community Services Department. Three (3) separate bid packages were prepared based on geography and similarity. This was done to create and opportunity for more bidders, particularly small companies, that may not be able to manage service to all of the facilities. Bid award recommendations were based on lowest responsible bidder by bid package. The Parks, Recreation and Community Services Department prepared the appropriate specifications and the Purchasing Division of the Finance Department published and furnished contract bid documents to ten (10) vendors "including four (4) local vendors" and to the Chamber of Commerce. Contract bid documents were advertised in The Sun Newspaper and the City web page. Bids were publicly opened and declared on June 20, 2005. The following is a summary of bids received. Azteca Landscape withdrew all bids (see attached letter) San Bernardino Soccer Complex $ 33,595.80 $ 74,400.00 Specifications of the bids have been reviewed by the Parks Project Manager and Parks Project Supervisor, who checked references and background of the contractors and determined that the bids of Service Scape, RP Landscape, and W. Woods & Associates all meet specifications and ~ requirements. Service Scape provided good references from several private companies, RP Landscape has provided the City with comparable services in the past, and W. Woods & Associates has provided the City with excellent service for the last several years. Financial Impact: The Parks & Recreation budget (Account No. 001-382-5506) includes $246,727.80 and the Soccer Complex budget (Account No. 134-462-5506) includes $74,400 for Fiscal Year 2005/06 for the Landscape Services.
